Terms and Conditions

When you book with Go Beanies, we want you to be completely satisfied with the service we offer from the moment you book to when you collect your child after their camp experience.

Below are the booking terms and conditions which let you know what to expect from Go Beanies and what we expect from you. We will always try to do the best by your child, make sure they are safe and conduct ourselves with integrity and honesty.

Definitions

'Go Beanies' will be referred to as 'GB'.
'Purchaser' is the person making the booking, which may or may not be the parent.

Booking

Bookings placed online and over the telephone will be confirmed by email. We only post confirmations where the purchaser does not have an email account. The receipt of a booking constitutes acceptance of these booking terms and conditions.

Please check the booking confirmation email carefully to ensure the dates, location and details are correct and as expected. Please inform us as soon as possible with any discrepancies and at least 14 days before camp starts.

Go Beanies Holiday Camps

The following provisions shall apply in relation to holiday camps only.

  1. Payment
    Full payment is required at the point of booking.
  2. Debit and Credit Card Payments
    ‘GB’ accepts payment by credit card and debit card.
    There are no additional charges for payments made by credit or debit card.
  3. Confirmation
    An order confirmation is sent automatically by email on completion of the booking & payment process.
  4. Changes to your booking
    We know plans change, so you can change booking dates for free any time up to 14 days before the date you would like to change - as long as it's within the current season and there is availability. Changes made less than 14 days prior to the date you would like to change will incur a £10 administration fee. All changes to bookings can only be made over the phone and unfortunately, a phone message/voicemail does not constitute confirmation of your requested date change.

  5. Childcare Vouchers
    ‘GB’ is able to accept childcare vouchers from accredited suppliers as payment towards the cost of camp. Please contact the Go Beanies Customer Service team on 01189962678 if you would like to make a booking with the use of childcare vouchers.
  6. Cancellations
    You can cancel a booking up to 28 days before the first date of your booking. We will issue a credit note for the balance minus a 35% deposit of the dates you wish to cancel. If a cancellation is less than 28 days before the first date of the booking, unfortunately we are unable to provide a refund or credit note.
    If you have booked multiple children or weeks you may have received an additional discount for this at the time of booking. If you then cancel one or more of the children or weeks, you may no longer qualify for the additional discount - the price for the remaining booking will be adjusted to the normal booking rate at the time of cancellation.
    Due to unforeseen circumstances, we may have to cancel some dates but we will try to give as much notice as possible and offer alternative options if available, or refund all monies paid for the dates cancelled.
  7. Photography/video footage
    The copyright of all photography appearing in our brochures belongs to ‘GB’. No reproduction may be made without prior permission from the company. If you do not want your child’s photograph taken, please infor ‘GB’. Photographs and video footages may be used in future ‘GB’ promotional materials.
  8. Medical information
    It is the purchaser's responsibility to inform ‘GB’ at the time of booking of any pre-existing medical, physical or behavioural conditions, or medication requirements, so that we can make provision for the child's specific needs at camp. If this information is not provided we reserve the right to exclude the child from some or all activities.
    If a child is deemed too ill by the Camp Manager upon arrival to camp, we reserve the right to refuse participation to camp until the child has been symptom free for at least 24 hours. If a child requires medication our staff can only administer medication if it is specifically prescribed for that child by a health professional. Appropriate first aid will be administered to children in the event of an accident while under ‘GB’s care. If the accident is more serious, we may need to call the emergency services and will immediately inform parents.
    If full information about medical or physical conditions, or behavioural matters, is not provided at the time of booking, it may result in the child being excluded from certain activities. In such circumstances we may have to cancel the booking and no refund will be paid. All information given will be treated in complete confidence.
  9. Special requirements
    Every child at camp has access to the same opportunities, although some children may have specific medical, physical or behavioural requirement that need to be taken into account prior to participating in activities. The needs of each child vary, so decisions on how best to include children into our programme, are made on a case-by-case basis. We request that parents of children with specific needs contact our customer services team or SENCO to discuss how we can best accommodate their child, and consider whether any special arrangements need o be made. Please note we cannot provide for children requiring care, including toileting.
  10. Child Protection
    ‘GB’ is committed to building a ‘culture of safety’ in which the children in our care are protected from abuse and harm. The Camp will respond promptly and appropriately to all incidents or concerns of abuse that may occur. The Camp’s child protection procedures comply with all relevant legislation and with guidance issued by the Local Safeguarding Children Board (LSCB).
  11. Staff Ratios
    ‘GB’s ratio of staff to children normally exceeds all statutory requirements. Our official child to staff rati s at ‘GB’ are as follows: 4-7 year olds 1:10 maximum; 8-12 year olds 1:15 maximum.
  12. Liability
    ‘GB’ does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the comp ny or its servants, in this event our liability insurance provides cover of up to £3 million.
  13. Additional Information Form
    The completion and return of the Additional Information Form is a condition of the booking process. The form, which captures all the essential information about your child including your contact details in an emergency, their medical information, special needs and dietary requirements, must be completed and returned to ‘GB’ in advance of camp starting.
  14. Personal property
    ‘GB’ is not liable for any lost or damaged property brought to camp. Lost property will remain on camp until the last day and should be collected before that. 15 days after the last camp day unclaimed lost property will be given to charity.
  15. Exclusions
    ‘GB’ reserves the right to exclude or refuse any person without notice, if we consider that their presence compromises the good atmosphere of the club. Transport home will be the responsibility of the parent and no refund/credit will be available.
  16. Amendments to the Programme
    ‘GB’ reserves the right to amend its services and activity programme, content, times, dates and venue in the event of external environmental or operational issues outside our control without refund or compensation to the customer.

Go Beanies Play & Learn (extended school provision)

The following provisions shall apply in relation to Play & Learn Clubs only.

  1. BOOKING & PAYMENT
    After School and Breakfast Club bookings are generally made on an ongoing basis (our ‘season pass’). Once a regular booking has been confirmed, your child will be booked in for the same day/s each week. Payment of the club fees to the club for the child’s attendance at the club shall be made by the parent / guardian monthly, in advance, on the due date as published on the booking form. If we have availability, sessions may be booked on an 'ad hoc/occasional user' basis, or for a limited period. Payment must be made at the point of booking. Ad hoc sessions and sessions booked for a limited period are confirmed bookings and are not subject to change.
  2. BOOKING ALTERATIONS/LATE PAYMENT
    Alterations cannot be made to after school and breakfast club bookings. If fees have not been paid by the published due date on the booking form, Go Beanies reserves the right to charge a £25 administration charge for late payment.
  3. CANCELLATIONS/REFUND POLICY
    There will be no credits, cash refunds or alternative sessions for sessions booked but not used unless the cancellation request is due to child sickness/injury, which keeps the child away from the club for at least three consecutive sessions. Sickness/injury will need to be validated by a doctor's note. A credit note will be issued for the fourth, and any subsequent sessions that are missed due to the child sickness/injury.
    Two calendar month’s written notice is required to permanently cancel a booking made on an ongoing basis. This notice may be provided as an email, by letter or by asking the club manager to complete a cancellation form for you.
  4. WAITING LIST
    All bookings are accepted on a first come, first served basis. If we have a waiting list for a particular day, then the child's name and date they booked are added to the waiting list. When a space becomes available the person at the top of the list will be contacted first. If your child is on the waiting list, we will contact you regularly to let you know your position on the list.
  5. CHILD PROTECTION
    Go Beanies is committed to ensuring the safety and protection of the children in our care. We will respond promptly and appropriately to all incidents or concerns of abuse that may occur. The club’s child protection procedures comply with all relevant legislation and with guidance issued by the Local Safeguarding Children Board (LSCB).
  6. MEDICAL INFORMATION
    Once a booking has been accepted, parents will be required to complete the club registration form which includes full disclosure of all medical information. If full information is not provided this may result in that child being excluded from certain activities, or if it felt necessary, excluded from Go Beanies. In such circumstances, no refund or credit will be paid. Go Beanies reserve the right to cancel a booking at any time where there has been a failure to provide full information about a child.
  7. LOST PROPERTY
    Go Beanies does not accept any responsibility for children’s lost property. All lost property will be kept for a period of fours weeks and if unclaimed, donated to charity. Please contact our office if your child has lost something at one of our clubs.
  8. STAFFING
    There is always a minimum of two adults on duty at our clubs at all times. The legal requirement for adult:children ratios is 1:30. However, we always endeavour to work to a ratio of 1:10 for children aged four to seven years and a maximum of 1:15 for our eight year olds and over.
  9. PHOTOGRAPHY
    From time to time Go Beanies may wish to take photographs of our club activities for marketing and promotional purposes. If you would like your child to not be included any photographs, please inform us prior to making your booking.
  10. LATE COLLECTION
    Go Beanies reserves the right to charge a fee for the late collection of any children beyond the allocated collection time. Late collections of your child will result in a late fee of £10.00 every 15 minutes or part thereof. If any other people other than the parents/carers or emergency contacts listed on the first page of your application form are to collect your child, please inform the office immediately and inform us with details of this person.
  11. LIABILITY
    Go Beanies do not accept any liability for personal injury or the death of any participant unless caused by the proven negligence of Go Beanies or its employees. Go Beanies do not accept any liability for the loss or damage of any property belonging to participants. Go Beanies accept no responsibility for losses or additional expenses in the event of cancellation or change due to strikes, school closure, disasters, war or the threat of war, acts of terrorism, weather, illness or any event outside the control of the company.
  12. EXCLUSION
    Go Beanies reserve the right to refuse or exclude any individual, at any time prior to or during the delivery of childcare services if, in the opinion of Go Beanies, that individual is incompatible with the general wellbeing and safe running of the services.
    In this instance, no refund will be given and any costs incurred, including any damage, will be passed onto the individual’s parent or guardian. Parents/guardians will be responsible for the collection of the individual or for all transport costs in connection with that individual returning to their home address.
  13. PROGRAMME CHANGES
    Arrangements and programmes are given in good faith. However, these may be subject to change for reasons of safety, unsuitable weather conditions or other factors which may arise beyond the control of Go Beanies. Under such circumstances, Go Beanies reserves the right to amend its services without refund or compensation to the customer.
  14. INSURANCE
    All children in our care are covered by our public liability insurance.
  15. POLICIES & PROCEDURES
    Go Beanies policies and procedures are available for viewing at our club venues. Copies will also be sent to parents on request.

Go Beanies Parties

The following provisions shall apply in relation to Parties only.

  1. PAYMENT
    1. The full cost of the Party must be paid at the time of booking the Party.
    2. If full payment is not received at the time of booking the Party, we reserve the right to cancel the booking.
  2. ENVIRONMENT
    1. You shall be responsible for booking a suitable venue for the Go Beanies Party to take place as well as providing any equipment and materials required for the party, unless otherwise agreed that we will provide the same.
    2. As we have no control over the venue or environment of Party activities, we accept no responsibility for problems relating to:
      1. The space for the Party activities not being of sufficient size;
      2. The ratio of children to Party Leader being too large (we suggest a maximum of 25 to 1);
      3. Inadequate control of the Party because of lack of support from parents or adult attendees (this can include disturbing the activities, talking or sharing the same space as the children);
      4. Failure to provide a working CD player or a mains power source if this has been agreed;
      5. Failure to provide accurate details on location or the address of the party venue; or
      6. Failure to inform us of any special issues in advance.
  3. CHANGES & CANCELLATIONS
    1. If you have booked a Go Beanies Party and now wish to change the date or time, you may do so without cost providing:
      1. We have not booked a Party Leader for the Party at the time of notification; and
      2. Another Party Leader is available at the new time
    2. If either of the above make changing the time impossible, cancellation terms will apply as set out in paragraph 1.3.3 below.
    3. If you have booked a Go Beanies Party and now wish to cancel
      1. If we have not yet booked a Party Leader, we will credit your account with 50% of the amount paid which you can use to fund future purchases from Go Beanies. Any additional payments will be refunded if required.
      2. If we have already booked a Party Leader, you will forfeit 50% of the amount paid. We will credit your account with the other 50% which you can use to fund future purchases from Go Beanies.
    4. Should Go Beanies have to cancel any bookings due to unforeseen circumstances, a full refund of any monies paid will be given and we will endeavour to satisfy the clients requirements wherever possible.

GENERAL

COMPLAINTS

Complaints are rare but when they do happen we take it very seriously. Go Beanies will respond to any complaint within 24 hours and will give you a written outcome to the complaint within 72 hours. If for any reason the response time is going to be different we will inform you of when you will be notified. Complaints should be made to the Club Manager in the first instance. Should you not be satisfied with the outcome, please contact the Director at Go Beanies Ltd, 5a The Square, Pangbourne, Berkshire, RG8 7AG. If in the unlikely event, you are still not satisfied with the response, you may wish to contact the Ofsted Early Years Complaints Helpline on 0300 123 4666 or in writing to Ofsted, Piccadilly Gate, Store Street, Manchester, M1 2WD.

PRICES

All prices quoted are inclusive of activities and snacks. Prices are set in advance and Go Beanies will make every effort to ensure that the price quoted for any of our services is honoured. However, Go Beanies reserve the right to alter any price as required where additional unforeseen costs arise beyond the control of Go Beanies.

SOCIAL MEDIA

We respectfully ask that parents and staff do not discuss any Go Beanies related issues on Facebook, Twitter or other social network sites. Please be aware that these sites are often public, and information could innocently be placed in the wrong hands. We thank you for your cooperation with this. DATA PROTECTION

Go Beanies acts as a Data Controller for the purposes of the Data Protection Act 1998. The personal information requested on our booking form, medical form and signature form is required to enable Go Beanies to deliver its services. This information will not be passed on to any third party without your express permission. It is the parent or guardian’s responsibility to update Go Beanies with any changes in personal information including home address, emergency contact telephone numbers and medical information. All personal data that you provide will be held and processed in accordance with the requirements of the 1998 Data Protection Act.
